Format Development for Course Files

To lighten faculty workload under our Outcome-Based Education framework, I engineered a Google-Workspace “Integrated Course File” where a multi-tab Sheet—powered by Apps Script—pulls Form submissions, populates CO-PO matrices, logs assessments, time-stamps evidence links, and auto-validates every field, so teachers now

Background

In higher education, maintaining course files has always been a labor-intensive process. Faculty members spend hours collecting student submissions, preparing assessment logs, and aligning them with institutional frameworks such as Outcome-Based Education (OBE). The process is prone to manual errors and inconsistencies, especially during audits and accreditation reviews.

Objective

The goal of this project was to design a streamlined system that reduces the redundant manual workload while increasing accuracy, transparency, and audit readiness for academic institutions.

Solution – Integrated Course File

I developed an automated Google Workspace-based solution called the Integrated Course File. This system leverages Google Sheets and Apps Script to unify the entire course documentation process:

  • Form Integration: Directly imports student submissions and faculty inputs.
  • Automated Matrices: Dynamically generates CO-PO mapping tables and auto-validates compliance fields.
  • Assessment Logging: Records internal assessments, project marks, and continuous evaluations.
  • Evidence Tracking: Adds time-stamped links to evidence files, ensuring traceability during audits.
  • Error Reduction: Built-in validations minimize the risk of missing or incorrect entries.

Impact

  • Reduced course file preparation time by over 70%.
  • Enabled faculty to focus more on teaching and mentoring instead of clerical tasks.
  • Enhanced transparency and accountability during audit inspections.

This project demonstrates how UX thinking, automation, and system design can reshape academic administration, making documentation processes as seamless as possible.
